How much does it cost to build an internal tool?
An internal tool for one team, one workflow and sign-in, with no outside integrations, runs $3,500 to $5,500 over about 3 to 4 weeks. Connecting it to one or two systems you already use moves it to $6,500 to $9,000. These are estimates from my scope estimator, not quotes.
Cost ranges (estimates)
- One team, one workflow$3,500 to $5,500About 3 to 4 weeks
Replaces a spreadsheet or a manual process. Sign-in, a database, data entered in the tool.
- Connected to your systems$6,500 to $9,000About 4 to 5 weeks
Reads from or writes to one or two tools you already use, like a database or a chat app.
- Many systems or sensitive dataScope firstMore than one sprint
Several or custom integrations, or regulated data. Scoped sprint by sprint.
Prices are USD estimates, not quotes. They come from the bands in my MVP Scope Estimator and the offers on /hire. A short written scope sets the fixed price.
What these ranges assume
- A web app used by your own team.
- Sign-in, one user type, one core workflow.
- No outside integrations in the first case.
- No AI. Standard business data.
- A private launch to your team first.
- Built by me alone, at a fixed price in writing.
- Hosting on your own accounts.
What drives the cost
- Pulling data from several existing systems
- A custom or poorly documented internal API
- Approval chains across several departments
- Regulated data such as health or payroll
- Large imports, scheduled jobs, or live sync
- Rolling it out to customers, not just staff
- One team and the one process that hurts most
- Data entered in the tool, or one CSV import
- One login type before roles and permissions
- Your team as the only users at first
- The current spreadsheet as the spec
- Reports and exports left for the next sprint
How long it takes
- One team, one workflow: about 3 to 4 weeks.
- Connected to one or two systems: about 4 to 5 weeks.
- Larger tools: sprints set in the scope.
- A written update daily, a live link in week one.
Freelancer, agency, or no-code
I have no sourced market averages for these, so I describe fit and risks instead of quoting prices I cannot back up.
For internal tools, check whether a low-code admin builder over your existing database is enough before you commission a custom app.

Questions
How much does an internal tool cost?
For one team, one workflow, sign-in and no outside integrations, my scope estimator reads $3,500 to $5,500 over about 3 to 4 weeks. Connecting it to one or two systems you already use reads as $6,500 to $9,000 over about 4 to 5 weeks.
Why does connecting to other systems cost more?
In the scope estimator, one or two integrations move the work to the $6,500 to $9,000 tier on their own. Each connection needs access, error handling when the other system is down, and testing against real data.
Can it grow into more workflows later?
Yes. A Launch Sprint covers up to 3 core flows. The next workflow can be its own sprint with its own fixed price, and you own the code in a repository in your name, so anyone can extend it.
When does it need more than one sprint?
When it connects to several systems or a custom integration, handles sensitive or regulated data, or must run at high volume from day one. The written scope then splits it into sprints with a fixed price each.
Can I start smaller?
Yes. Scope & Prototype is $500: a written scope, a fixed price, and a first prototype of the workflow. It is credited to the build if you go ahead within 30 days.
Is this page a quote?
No. It is a range from the same rules the scope estimator uses. A short written scope sets the fixed price, and you get one within 48 hours of sending a brief.
